Quick Reminder: Public Records and Communication

As a public institution, Rogue Community College operates under Oregon’s public records laws (ORS Chapter 192). This means that most materials created in the course of college business, including emails and other written communications, may be requested through a public records process.

Please ensure compliance with the college’s records retention procedure, AP 3310, and store documents in the designated location which is currently Etrieve.

If you receive a public records request, do not respond or attempt to fulfill it yourself. Instead, direct the requester to the online Public Records Request form, which automatically routes to RCC’s Public Records Custodian.

Information about public records requests is available on our website, and the online request form can be accessed at the link.

RCC’s approved tools, including Jenzabar, Outlook, Teams and Zoom, are appropriate for everyday work communication. When using a personal cell phone for college business, please minimize work-related communication through personal texting or non-college apps to ensure proper record-keeping.

Thank you for helping RCC uphold transparency and professionalism in all communications.
